Ask a guest what they remember about a great event and they'll rarely mention the lighting. Ask them why a room felt flat and they usually can't say either — but the answer is often the same: the light was wrong. Lighting is the fastest way to change how a space feels, and the easiest thing to get lazy about.
You don't need to be a technician to brief it well. You just need to think in layers.
Layer one: ambient
This is the base wash that sets the overall brightness and warmth of the room. Warm tones flatter skin, food and décor; harsh white overheads do the opposite. The single most common fix we make is simply turning down the venue's fluorescent house lights and replacing them with something warmer and dimmable.
Layer two: feature
Feature lighting draws the eye to what matters — uplighting on pillars, pin-spots on centrepieces, a glow behind the stage. It creates depth so the room reads as designed rather than merely lit. A little goes a long way; the goal is accents, not a light show.

- Uplights to add height and colour to plain walls
- Pin-spots that make table centrepieces pop in photos
- Gobos or subtle patterns to brand a blank floor
Layer three: functional
Finally, the practical light: stage and lectern lighting bright enough for cameras, clear paths to exits and bars, and enough glow at tables for guests to read a menu. Mood is lovely until nobody can find their seat — the layers have to serve the evening, not just the aesthetic.
Brief it, then trust the crew
You don't have to specify fixtures. Describe the feeling — intimate and warm, or bright and energetic — point to a reference image or two, and flag the moments that need to be camera-ready. A good lighting team will translate that into a plan and a cue list.
In a sentence: get the ambient warmth right, add restrained feature light for depth, and keep the functional light honest. Do that and the room will feel considered before a single guest can explain why.
