Does the real capacity match your plan?
Every venue quotes a maximum, but that number usually assumes theatre seating with no stage, no dance floor and no buffet. Ask for the capacity in your layout, with the elements you actually need. A room rated for 300 can seat far fewer once you add rounds, a stage and comfortable circulation.
How does everything get in and out?
Load-in is invisible to guests and critical to producers. We always ask about lift sizes, loading bays, access times and whether there's a curfew on setup or teardown. A dream venue with a single small service lift can quietly wreck a tight schedule.

What does the price actually include?
Venue quotes vary wildly in what's bundled. Furniture, basic AV, security, cleaning and corkage can all be inclusions or surprises. We get the full list in writing so the budget reflects reality, not the headline rate.
Can you hear, see and move?
Stand where your guests will sit. Can you picture seeing the stage from the back table? Does the acoustic feel warm or cavernous? Is there a natural flow from arrival to seating to the bar? These human details decide how an evening actually feels.
Bottom line: judge a venue on how it will run when it's full, not how it looks when it's empty. Ask the awkward logistics questions early — the answers are what separate a smooth night from a stressful one.
